Order & Transport Documentation Specialist

In this position, you will be responsible for verifying transport invoices across the entire supply chain — from supplier to final customer — ensuring they are accurate, properly allocated, and paid on time. You will investigate discrepancies, cooperate with internal and external stakeholders, and support smooth and transparent financial flows across global logistics operations.

• verify, control, and process transport invoices as well as documentation related to logistics services such as road, sea, and air transport, customs handling, and storage,

• validate that services were delivered and that invoice details match agreed rates and contractual terms,

• allocate and code costs in relevant systems in line with the accounting structure and the transport-consuming unit,

• process credit notes, payment reminders, and ensure correct postings in ERP/TMS systems,

• identify incorrect or incomplete invoices and coordinate corrections with carriers and internal teams,

• monitor transport costs and contribute to financial transparency across logistics processes,

• maintain and update documentation, and prepare reports, statistics, and presentations,

• cooperate with Finance, Controlling, Logistics, Purchasing, and internal customers,

• support internal and external billing related to transport services,

• participate in process improvement initiatives and raise system or tool enhancement needs.

• education in logistics, accounting, business administration, or a related field,

• experience in forwarding, transport planning, logistics administration, customer service, or finance/logistics support functions,

• practical knowledge of different transport modes, especially road, sea, and air,

• ability to read, interpret, and apply transport tariffs and rate tables,

• good understanding of supply chain processes and the dependencies between logistics and finance,

• strong analytical skills and high numerical accuracy,

• very good knowledge of MS Office, especially Excel; Access or Power BI will be considered an advantage,

• confidence in working with ERP/TMS tools and financial or transport-related systems,

• very good English skills,

• very good local language skills, German, Spanish, French, 

• a structured, detail-focused, proactive, and solution-oriented approach,

• strong collaboration skills and a customer-focused mindset,

• willingness to learn, develop, and continuously improve processes.
